Real time reporting and e-rostering whilst improving staff engagement and eradicating unnecessary costs

SwanCare, one of Western Australia’s oldest and most established not-for-profit provider of retirement living and aged care services is launching an upgrade of its existing platform to Allocate’s Optima solution.  Described as the evolution of rostering, Optima will provide an improved user experience to staff enabling faster, simpler and more effective workforce deployment.

Located in Perth, WA, SwanCare’s aged care site, Bentley Park, offers residential care to around 1,000 residents across three facilities and will be launching a further 147 bed care facility in late 2019.  With a total of 410 staff managed across 46 rostering areas, the organisation has used Allocate’s RosterOn solution since 2006.

Fiona Millar, General Manager, People and Culture, commented; “We’re really excited about the transition to Optima, it provides us the opportunity to have a look and review everything that we are doing. It will give us much greater visibility in terms matching staff to resident needs and will also offer us a deeper level of reporting.  Optima’s mobile aspect will also make a huge impact to everyone giving managers the ability to connect immediately with staff. Carers will be able to select available extra shifts and book their roster to suit their availability.”

“With the new Aged Care Quality Standards into effect, it’s about reporting and compliance. Standard 7 is exclusively to HR and Optima allows us to access to the information we need to ensure that SwanCare has a workforce that is sufficient, and is skilled and qualified to provide safe, respectful and quality care and services”, she added.

Recognised for its use of technology and provision of mobile flexible staffing options improving staff engagement which it attributes amongst other initiatives, to Allocate’s technology, SwanCare is already an acclaimed employer having been awarded an HRD silver award for Employer of Choice in June this year.

Dean Seeley, Allocate Product Director, APAC, commented; “SwanCare’s workforce is made up of differing staff levels with varying experience.  Optima will ensure that its e-rostering intelligently delivers the management of safe and quality care services whilst also maintaining standards, monitoring, training and the regular assessment of its workforce.”

Allocate Managing Director, APAC comments; “We see the transition to Optima to be hugely beneficial for SwanCare increased benefits; from giving its executives access to real time information and reporting, to empowering staff choose when to work.  Ultimately by reviewing their current processes and further streamlining its workforce management processes, SwanCare will enable staff to focus on delivering the best care whilst improving efficiency and minimising unnecessary labour costs.”
